ILL, Circulation and Periodicals Librarian

The Archabbey Library has a full-time opening for an ILL, Circulation and Periodicals Librarian. 

Interlibrary Loan (ILL): Fill ILL requests from Archabbey Library patrons as well as requests from other libraries to borrow Archabbey Library materials. The ILL Librarian uses OCLC's online ILL management system, submits borrowing requests to other libraries, scans materials to make PDF files to be sent to patrons of other libraries, and keeps circulation records for all ILL loans. The ILL Librarian also serves as a document delivery specialist for remote Archabbey Library patrons (mostly Graduate Theology students), scanning library materials to make PDF files that can be delivered online. The ILL librarian also manages PALShare resource sharing among PALNI libraries, preparing books and DVDs for transit to other PALNI libraries and receiving returned material.

Circulation: Maintains patron database in the library's automated online collection management system, adding and deleting patrons as needed and corresponding with library patrons about library accounts. Other functions include: inventory control for library holdings and correcting records as needed; setting up and maintaining course-reserve shelves; generating circulation reports; and staffing the Circulation Desk as needed.

Periodicals: Manages day-to-day activities concerned with Archabbey Library's collection of magazines and journals. This includes: daily check-in and recording of books and magazines, collecting serials for bindery and maintaining records for serials costs, maintaining the display of current periodicals, and moving current periodicals to archives as needed. The Serials Librarian also helps patrons requiring assistance with the periodical collection. 

Primary Duties & Responsibilities

ILL Librarian:

  • Receive and process all ILL orders from Archabbey Library patrons and requesting libraries

  • Manage ILL loans through OCLC

  • Manage receipt, distribution and return of loans between PALNI libraries (PALShare)

  • Keep records of ILL transaction

  • Correspond with patrons and requesting libraries concerning ILL loans

  • Make and deliver scanned PDF files for document delivery

Circulation Librarian:

  • Manage reports for statistics and generate patron notices for overdue and requested books

  • Correspond with patrons concerning library accounts 

  • Maintain circulation database:  add, edit and delete patron records

  • Do inventory surveys of library collections and keep records of lost or missing books

  • Troubleshoot discrepancies in item records in WMS Circulation module

  • Set up and maintain course reserve shelves

  • Conduct and/or direct inventory of library holdings

  • Staff Circulation Desk as needed

  • Shelve books as needed

Periodicals Librarian:

  •       Receive and process periodicals as they arrive

  •       Maintain records of periodical holdings and costs

  •       Claim missing and damaged issues from vendors

  •       Process invoices for periodicals

  •       Arrange for periodical binding and archiving as needed

Experience & Qualifications

  •       High school required; associate's degree preferred

  •       Computer skills for interlibrary loan and to process circulation functions

  •       Ability to learn to use Circulation, ILL and Periodicals modules of WorldShare Management System (WMS)

  •       Ability to learn the library system of classifications

  •       Ability to create and maintain records in Microsoft Excel and Word
